Administration Fees

Once an offer has been submitted in writing by the applicant to rent a property and accepted by the landlord, Best Gapp will request the transfer of a non-refundable ‘holding fee’ of two weeks rent to withdraw the property from the market. This is in order to process the references as required. NB. The holding fee will be deducted from the final balance of the security deposit, advance rent and the administration costs.

Please note that the holding fee is non-refundable, as it will form part of the cost of your referencing, as well as administration charges


Once references have been successfully processed, they will be subject to the landlord’s acceptance. Thereafter the prospective tenant will receive a DRAFT copy of the tenancy agreement (a hard copy of the DRAFT agreement will be made available on request) for the applicant to review and sign, before being returned to our offices. NB. We may ask for the outstanding balance to be transferred and settled, prior to the tenant receiving the tenancy agreement. Furthermore, if the landlord should decide to remove the property from the market after the holding fee has been received by the agent from the tenant, a full refund of the holding fee will apply. However, if the prospective tenant should decide to withdraw their offer to rent the property, a proportion of the holding fee will be retained to cover any outstanding administration and referencing costs that may have been incurred.


Tenancy Agreement Fee: £220 inclusive of VAT.
Tenancy Arrangement Fee: £120 inclusive of VAT (per person)
– to include credit check fee: £37.20 (non-refundable)
Tenancy Renewal Fee: £85 inclusive of VAT.
Additional Occupier Fee: £120 inclusive of VAT (per person)
– to include credit check fee: £37.20 (non-refundable)
Guarantor Arrangement Fee: £120 inclusive of VAT (per guarantor)
– to include credit check fee: £37.20 (non-refundable)
Check-Out Inventory Fee: £144 minimum inclusive of VAT
(this cost is variable depending on size of property)

Best Gapp and all of its affiliates reserve the right to alter these fees without prior notice but will always endeavour to deliver such notice where possible.
